What do Wedding Coordinators do on Your Wedding Day?

​A wedding coordinator’s job is often split into two parts, the planning and the execution! As we often share tips for the planning process of your wedding today we are going over the day of responsibilities for your planner! On the day of your wedding it’s truly a special day! You may have butterflies for the excitement of saying “I do” to your best friend, or just a sense of relief as this day that you dreamed of for SOOO long is finally here! No matter how you’re feeling on your big day, your coordinator is there to support you, assist you in any way they can, and make sure you feel as happy and as stress free as possible! :-) 

Facilitate Timing 

In the months that lead up to your wedding, your coordinator will be working with you to create a timeline that will encompass everything that you want and are realistically able to do on your wedding day! Then on the day of your wedding, your planner will make sure that your entire day stays on time by assisting and overseeing the set-up, vendors, and the flow of events throughout your day!

For full coordination weddings this flow of events would cover getting ready, picture taking, ceremony & reception set-up and execution, and clean-up (sometimes even a Chinese tea ceremony too!). We’ll make sure that your day stays on time so that you don’t have to worry about anything, and can just enjoy each moment! 

Carry Out Your Vision 

During the creation of your timeline, we ask MANY specific questions to find out all the exact details that you want on your day. In our meetings we like to learn what your overall vision for your wedding is so that we can make decisions (if needed, and if you leave it up to our discretion) on the day of the wedding that we believe you’ll like based on the vision we know you have.

Knowing your wedding vision will help your coordination staff greatly, so we recommend creating a vision board that captures the essence of your dream wedding! 

Crisis Management 

As you never know what may happen on your wedding day we do our best to be prepared for any situation and when a crisis arises calmly handle it, so that you won’t have to! In the planning process we do our best to predict any possible mishaps that may occur and find ways to avoid them from happening!

For instance, we always recommend that when the Bride and her bridal party are getting ready that they only eat light items that won’t stain. As we don’t want stains on their attire or around their mouths and fingers. This is one way to avoid any possible mishaps with attire or having to do touch ups on makeup.

We also always carry a little emergency kit with us that includes shout wipes, safety pins, tape, glue dots, and scissors. With thorough planning we typically don’t run into many crises but we always like to be prepared for the unexpected as best as we can!
